Hilo Website Terms and Conditions
Last updated: October 30, 2026
These Website Terms and Conditions (“Terms”) govern your access to and use of hilopoolroom.com, any Hilo member portal, reservation system, digital entry feature, the Hilo mobile app, and related online services (collectively, the “Services”).
The Services are operated by Hilo, Inc., doing business as Hilo (“Hilo,” “we,” “us,” or “our”).
By accessing or using the Services, you agree to these Terms. If you do not agree, do not use the Services.
Purchases of memberships, day passes, locker rentals, or other products and services may also be governed by Hilo’s Membership Agreement, Day-Pass Terms, House Rules, Privacy Policy, and terms displayed at checkout. If these documents conflict:
The Membership Agreement governs membership and use of the physical club.
The Day-Pass Terms govern day-pass access.
The House Rules govern conduct inside the club.
These Terms govern use of the website and digital Services.
Specific terms displayed at checkout govern the applicable purchase.
-
You must meet the age and other eligibility requirements disclosed for the applicable account, membership, pass, purchase, or feature.
By using the Services, you represent that you meet the applicable requirements and have the legal capacity to enter into these Terms. Hilo may require valid government-issued photo identification to verify identity and eligibility.
-
You agree to provide accurate, complete, and current information when creating or maintaining an account.
Your account, login credentials, verification codes, reservations, day passes, and digital entry credentials are personal and nontransferable. You may not share them with another person or allow another person to use your account.
You are responsible for safeguarding your credentials and devices and for activity conducted through your account. Notify Hilo promptly at hello@hilopoolroom.com if you believe that your account, payment information, or access credentials have been lost, stolen, or used without authorization.
Hilo may require identity or eligibility verification, password changes, additional security steps, or temporary account restrictions when reasonably necessary to protect the Services, the club, or its users.
-
Submitting a membership application, joining a waitlist, or paying an early-access deposit does not guarantee acceptance as a member.
Hilo may limit membership based on capacity and may approve or decline applications using lawful, consistently applied criteria related to eligibility, safety, security, conduct, and commitment to Hilo’s rules and pool-playing community. Hilo is not required to provide a detailed explanation for an application decision.
Applications and membership decisions will not be made for an unlawfully discriminatory or retaliatory reason. When required by law, Hilo will consider requests for reasonable accommodation through an appropriate cooperative process.
-
The $45 early-access deposit establishes an applicant’s place in the presale order. If the applicant is accepted and activates a membership, the deposit will be credited toward the applicant’s first membership payment.
The deposit will be refunded if Hilo does not accept the applicant’s membership application, or on request at any time before the applicant’s membership is activated.
A one-time $195 new-member fee applies after the presale period unless Hilo expressly waives it. Members accepted during the advertised presale period will receive the waiver described in the applicable offer.
-
Hilo memberships are offered on an automatically renewing, month-to-month basis. This section summarizes the billing terms; the Membership Agreement contains the complete membership terms and controls if anything here differs.
The membership fee is $195 per month, plus any applicable taxes. Memberships renew on the 15th of each month until canceled.
If a membership begins on a date other than the 15th, the first payment will be prorated to cover the period from the membership start date through the 14th. The standard monthly fee will then be charged automatically on the 15th of each month.
By completing enrollment, you expressly authorize Hilo and its payment processor to charge your selected payment method for:
The initial prorated membership payment;
The recurring monthly membership total displayed at enrollment;
Any applicable taxes; and
Other charges that you separately authorize, such as locker rentals, day passes, replacement credentials, or event fees.
Before enrollment, Hilo will clearly display the recurring price, billing frequency, cancellation deadline, cancellation method, and other material renewal terms. Hilo will provide an acknowledgment of those terms in a form you can retain.
Cancellation
You may cancel your membership through your online member account or by emailing hello@hilopoolroom.com.
Cancellation must be completed by 11:59 p.m. Eastern Time on the 14th to prevent the next monthly charge. Cancellation stops future renewals but does not provide a refund for the current paid period. Club access continues through the end of that paid period unless access is suspended or terminated for nonpayment, safety, security, or a violation of Hilo’s governing rules.
Hilo does not currently offer membership pauses or freezes.
Failed Payments
If a payment fails, Hilo may retry the payment method, request updated payment information, and suspend membership or club access until valid outstanding charges are paid.
Price and Material-Term Changes
Hilo may change future membership prices or other material renewal terms by providing at least 30 days’ advance notice and any other notice required by law. A price change will not be charged before the effective date stated in the notice. You may cancel before the changed price or term takes effect.
-
Hilo may offer a limited number of day passes. Day passes are $50, or $40 when a member buys a pass for a guest, plus applicable taxes. Day passes must be requested online in advance and are subject to Hilo’s approval. Walk-in passes are not available.
Day passes are personal, nontransferable, and valid only for the approved person, date, and access period. Hilo may require identity and eligibility verification and acceptance of the Day-Pass Terms before granting access.
The applicable price, access period, cancellation policy, and refund terms will be displayed before purchase. If Hilo charges for a pass and subsequently declines the request, Hilo will refund the amount charged.
Hilo may reduce, suspend, or stop offering day passes when reasonably necessary to protect table availability, safety, security, or the member experience.
Day-Pass Table Access
Day-pass holders may use the social table, and the flexible table when it is not reserved, and join the active player list. They may not reserve tables or use the two member reservation tables.
A day pass does not guarantee immediate playing time, a minimum number of games, or access to a particular table.
Day-pass holders must follow the social-table format, House Rules, Day-Pass Terms, and all reasonable instructions provided by Hilo.
-
Only active members in good standing may reserve the two designated reservation tables and, when Hilo makes it available for booking, the flexible table.
Members may reserve a table online up to seven days in advance and may hold no more than two future reservations at one time. Each reservation is limited to a maximum of two hours.
A member who has not checked in within 15 minutes after the reservation begins may lose the reservation, and Hilo may release the table to another member.
Reservations must be canceled at least four hours before their scheduled start time. Repeated late cancellations, no-shows, reservation manipulation, or use of another person’s account may result in temporary booking restrictions, account suspension, or other action under the Membership Agreement.
A reservation provides priority to use the designated table during the reserved period but does not guarantee uninterrupted access during an emergency, closure, equipment problem, safety concern, or other circumstance beyond Hilo’s reasonable control.
-
Members will receive personal digital access credentials after completing onboarding and activating their membership. Approved day-pass holders will receive entry instructions or time-limited credentials for their authorized access period.
Access credentials may be used only by the person to whom they were issued. You may not:
Share, copy, transfer, sell, or publish an access credential;
Use another person’s credential;
Admit an unauthorized person;
Hold a secured entrance open for an unauthorized person;
Allow another person to follow you into the club without authorization; or
Attempt to bypass, disable, interfere with, or test an access-control system without written permission.
You must promptly notify Hilo at hello@hilopoolroom.com if a credential or associated device is lost, stolen, compromised, or used without authorization.
Hilo may deactivate or restrict credentials when a membership or pass expires, payment fails, a security concern arises, or Hilo reasonably believes that the credential has been misused.
Hilo does not guarantee that digital-entry systems will always be available. Maintenance, internet or power outages, building restrictions, emergencies, and technical failures may temporarily delay or prevent access. Contact Hilo if you experience an entry problem; do not force, damage, or bypass a secured door.
-
You may use the Services only for their intended personal purposes and in compliance with applicable law.
You may not:
Harass, threaten, impersonate, discriminate against, stalk, or harm another person;
Use the Services to facilitate unauthorized entry, credential sharing, fraud, theft, illegal gambling, or other unlawful activity;
Attempt to access another person’s account or any restricted system, network, camera, door, or data;
Bypass, disable, probe, or interfere with security or access-control features;
Introduce malware or other harmful code;
Overload, disrupt, damage, or impair the Services or related infrastructure;
Use bots, scrapers, automated systems, or data-extraction tools without Hilo’s written permission;
Reverse engineer, decompile, disassemble, or attempt to derive the source code of any portion of the Services, except where applicable law expressly permits it;
Upload or transmit unlawful, infringing, deceptive, abusive, or harmful material;
Collect, publish, or use another member’s personal information without authorization;
Use member information for unsolicited marketing or commercial solicitation; or
Misrepresent your identity, membership status, reservation, eligibility, or presence at the club.
Hilo may investigate suspected misuse and may restrict or suspend access when reasonably necessary to protect the Services, the club, its members, or third parties.
-
By creating an account or making a purchase, you consent to receive transactional communications from Hilo relating to:
Applications and waitlists;
Account administration;
Membership and billing;
Reservations and day passes;
Access credentials and security;
Closures, maintenance, and emergencies;
Changes to applicable terms or policies; and
Other information necessary to provide the Services.
Hilo may send these communications by email, account notification, or another contact method you provide.
Marketing messages will be sent only as permitted by law and any separate consent you provide. You may opt out of marketing communications using the instructions in the message. Opting out of marketing does not stop essential transactional, billing, security, or legal notices.
You are responsible for keeping your contact information current.
-
The Services and their contents—including text, software, designs, graphics, photographs, videos, logos, trademarks, and other materials—are owned by Hilo or its licensors and are protected by applicable intellectual-property laws.
Hilo grants you a limited, revocable, nonexclusive, nontransferable right to use the Services for their intended personal purpose. This right does not permit you to reproduce, distribute, sell, publicly display, modify, create derivative works from, or commercially exploit the Services or Hilo’s content without written permission.
“Hilo,” “Hilo Pool Room,” associated logos, and other Hilo branding may not be used in a way that suggests sponsorship, endorsement, affiliation, or authorization without Hilo’s written consent.
-
Hilo may use third-party providers for payment processing, reservations, digital entry, identity verification, communications, analytics, website hosting, and other operational functions.
Your use of a third-party service may also be governed by that provider’s terms and privacy practices. Hilo is not responsible for third-party websites, applications, products, or services that it does not own or control.
Links to third-party resources are provided for convenience and do not necessarily constitute Hilo’s endorsement of them.
-
Hilo’s Privacy Policy explains how Hilo collects, uses, retains, and shares personal information.
Depending on the Services you use, this information may include:
Account and contact information;
Membership applications and eligibility information;
Payment and transaction records;
Reservation and day-pass activity;
Digital-entry and access logs;
Device, browser, cookie, and website-usage information;
Communications with Hilo; and
Security-camera recordings from common areas of the physical club.
Payment-card information may be collected and processed directly by Hilo’s payment provider rather than stored by Hilo.
Please review the Privacy Policy before creating an account or making a purchase. If a feature requires a separate permission or consent—such as device-location access—Hilo will request it through the applicable feature or device settings.
-
Hilo may modify, maintain, suspend, or discontinue all or part of the Services when reasonably necessary for security, maintenance, legal compliance, operational changes, emergencies, or other legitimate business reasons.
Hilo does not guarantee that the Services, reservation system, payment system, or digital-entry features will always be available, uninterrupted, timely, secure, or error-free.
Technical problems affecting a digital feature do not authorize you to bypass security controls, force entry, use another person’s account, or interfere with club systems.
-
The Services are provided on an “as available” basis.
To the maximum extent permitted by law, Hilo disclaims implied warranties relating to the Services, including warranties of merchantability, fitness for a particular purpose, title, and noninfringement.
Hilo does not warrant that:
The Services will operate without interruption or error;
Information displayed through the Services will always be complete or current;
A reservation, day pass, or digital credential will be available at a particular time;
A defect or technical issue will be corrected immediately; or
The Services will be free from all harmful components or unauthorized activity.
Nothing in these Terms limits a warranty, right, or remedy that cannot lawfully be excluded.
-
To the maximum extent permitted by law, Hilo and its owners, officers, employees, contractors, and agents will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising solely from your use of or inability to use the Services.
This section does not limit liability for personal injury, physical property damage, willful misconduct, gross negligence, violations of statutory rights, or any other liability that cannot legally be limited.
Risks and responsibilities relating to membership, physical entry, billiards, equipment, personal property, and conduct inside the club are addressed separately in the Membership Agreement, Day-Pass Terms, and House Rules.
-
Hilo may restrict, suspend, or terminate access to an account or the Services when reasonably necessary because of:
Nonpayment;
A security or safety concern;
Suspected fraud or credential misuse;
A violation of these Terms or another agreement with Hilo;
Unlawful, abusive, or disruptive activity;
A threat to Hilo, its systems, the club, its members, or third parties; or
Another legitimate and lawful business reason.
Hilo may act immediately when it reasonably believes prompt action is needed to address a safety, security, legal, or operational concern.
Suspension or termination of an online account does not automatically cancel valid outstanding charges or determine whether a membership refund is due. Membership cancellation, termination, and refunds are governed by the Membership Agreement and applicable law.
Sections that by their nature should continue after account termination—including intellectual-property, payment, disclaimer, liability, and dispute provisions—will survive.
-
Hilo may update the Services or these Terms to reflect legal, security, operational, or business changes.
The “Last updated” date at the beginning of these Terms will identify the current version. Hilo will provide any notice of material changes required by law. When appropriate, Hilo may also provide notice by email, through an account notification, or through a prominent notice on the Services.
Changes apply prospectively from their stated effective date. They will not retroactively govern a dispute that arose before that date unless the parties lawfully agree otherwise.
If applicable law requires affirmative consent to a change, Hilo will request that consent before the change applies to you.
-
Before filing a legal claim, you and Hilo agree to make a good-faith effort to resolve the dispute informally.
A written description of the issue and the requested resolution should be sent to hello@hilopoolroom.com. The receiving party will have 30 days to respond unless urgent relief, a filing deadline, or another circumstance makes waiting impractical.
This section does not prevent either party from seeking emergency relief, reporting a matter to a government agency, or filing an eligible claim in small claims court.
-
These Terms are governed by the laws of the State of New York, without regard to conflict-of-law rules.
Unless applicable law requires otherwise, legal proceedings relating to these Terms or the Services may be brought in the state or federal courts located in Kings County, New York. You and Hilo consent to the personal jurisdiction of those courts.
Either party may bring an eligible matter in small claims court.
-
These Terms and any documents expressly incorporated into them constitute the agreement between you and Hilo concerning use of the Services.
If any provision is found unenforceable, it will be enforced to the maximum lawful extent, and the remaining provisions will continue in effect.
Hilo’s failure to enforce a provision on one occasion does not waive its right to enforce that provision later.
You may not assign or transfer your account or your rights under these Terms without Hilo’s written consent. Hilo may assign these Terms in connection with a merger, financing, reorganization, sale, or transfer of the relevant business, subject to applicable law and any required notice.
Section headings are provided for convenience and do not affect interpretation. Electronic records and signatures may be used to the extent permitted by law.

This section applies to the Hilo mobile app for iOS and Android, in addition to the rest of these Terms. By using the app, you agree to it.
Who Can Use the App
The app is for Hilo members and guests aged 21 or older. You need an Apple or Google account to sign in. Keep one account per person and keep your details accurate. You are responsible for activity on your account.
Queue and Games
Report game results honestly. Do not manipulate the queue or the leaderboard, for example by logging false results, holding a spot for someone who is not present, or using more than one account.
Conduct
Hilo has zero tolerance for abusive content or abusive users. In the app, including your name, profile photo, feedback, and reports, you may not:
Harass, threaten, bully, or intimidate anyone;
Post hateful, discriminatory, sexual, or violent content;
Impersonate another person;
Share someone else’s personal information without their permission; or
Send spam or file false or bad-faith reports.
Reporting and Blocking
You can report a member or their content from within the app, and block a member so you no longer see their content. Hilo admins review every report within 24 hours. We remove content that breaks these Terms and take action against the account responsible.
Suspension and Bans
Hilo admins may remove content, or suspend or permanently ban any app account that breaks these Terms, at our discretion and without prior notice. Serious or repeated violations may also affect your Hilo membership under the Membership Agreement.
Deleting Your Account
You can delete your app account at any time in the app under Settings > Delete Account. See the Privacy Policy for what is removed.
